Privacy Policy


The United Nations System Booking Hub (“UN System Booking Hub”) is an initiative of the World Food Programme (“WFP”) where UN, NGOs, governmental, humanitarian, and development parties can request services (“Participating Organizations”). WFP is a member of the UN Family and the world’s largest humanitarian organization, saving lives in emergencies and using food assistance to build a pathway to peace, stability and prosperity for people recovering from conflict, disasters, and the impact of climate change.

 

WFP acts as the controller of all personal data collected in accordance with its own data protection regulations and this Privacy Policy. WFP can be contacted as set out below in Section 12.

 

WFP can also act as data processor when it processes personal data, on behalf of Participating Organizations, for the provision of services available on UN System Booking Hub. In that case, each Participating Organization, as controller of their users’ personal data, will be responsible for complying with its own data protection regulations.  

 

  

1. Scope of Policy  

This Privacy Policy describes how we process, your personal information, in conjunction with your access to and use of the various UN System Booking Hub websites and/or application.

 

Our website and/or the app are referred to as the “Service(s)”. By using this Service, you (“User”) agree to the privacy policy outlined herein.

  

2. Information We Collect 

When you use the Service or engage in certain activities, such as downloading the UN System Booking Hub app, requesting services or information, or contacting us directly, we may ask you to provide some or all of the following types of information:  

 

a. Installing the app and creating an account: If you install the app and create an account using your login credentials from one of your third-party services accounts such as your organization staff directory, you share your data such as name and email address. If you create an email-based account, we will request some data such as your name, email address and organization you belong to, where applicable.

b. Communications with us: We may collect personal information from you such as email address, first and last name when you choose to request information about our Service, sign up for the UN System Booking Hub’s newsletter, request to receive customer or technical support, or otherwise communicate with us directly or through third parties.

c. User-generated content: You may be able to customize and create certain content such as groups.

 

We automatically record certain information about how you use our Service. This may include information such as a User’s Internet Protocol (IP) address, cookie identifiers, and other device identifiers that are automatically assigned to your computer or device when you access the internet, operating system, country, languages and locales, hardware type, the pages or features of our Service to which you browsed and the time spent on those pages or features, the links on our Services that you clicked on and other statistics.

  

3. How we use your information  

We acquire, hold, use, and process personal information for a variety of purposes, including:

a. To allow you to create your user account (either as a focal point or end-user of a Participating Organization) and use our Service (including to administer such use) and to enable you to enjoy and easily navigate our Service;

b. To communicate with you for Service-related purposes including via emails, notifications (including push notifications if you are using our mobile application), or other messages. The legitimate basis of these processing purposes is to provide you with the Service(s) requested by you unless otherwise is specified in the collection process.

c. To ensure technical functionality of the Service, develop new features and services, and analyse your use of the Service, including your interaction with the mobile application, and services that are made available, linked to, or offered through the Service;

d. To personalise, and improve your experience with the Service, for example by providing customised, personalised, or localised content, recommendations, and features. The legitimate basis of these processing purposes is to perform WFP’s legitimate interests.  

  

4. Sharing Personal Information with Third Parties 

Your data may be shared with the following third parties to provide you with the Service(s) requested, on a need-to-know basis: 

a. Third parties whose services you have requested through the UN System Booking Hub. 

b. Technical service providers which may operate the technical infrastructure that we need to communicate with you and to provide the Service, including but not limited providers which host, store, manage, and maintain the application, its content and the data we process, as well as other relevant providers of the UN System Booking Hub. 

c)  Marketing and advertising partners to show you more tailored content, or to help us understand your use of the Service and to provide you with a better service.

 

  

5. Cookies, Third-Party Software Development Kits and Tracking 

A cookie is a piece of data stored on the User's device containing information about the device. Usage of a cookie is in no way linked to any personally identifiable information while using the Service. By setting a cookie, the UN System Booking Hub will remember the User the next time he/she visits the Service. The User is always free to decline our cookies if his/her browser permits, although in that case he/she may not be able to use certain features of the Service and may be required to re-enter information more frequently to use certain features of the Service.

 

We use third-party software development kits (“SDKs”) as part of the functionality of our Service. Third-party SDKs may allow third parties including advertisers to collect your personal information to provide content that is more relevant to you.

 

We use Google Analytics, an analysis service operated by Google LLC, (1600 Amphitheatre Parkway Mountain View, CA 94043, USA, "Google"). For this purpose, Google places a cookie on your device when you visit our web pages. This makes it possible to recognize your browser and to analyze your usage of our web pages on our behalf. 6. Data Protection Rights 

If you would like to access, update or delete your personal data we have collected, or object to specific processing activities, you may contact us using support@unbooking.org
 

  

7. Data Retention  

We retain data for limited periods when it needs to be kept for complying with the processing purposes described in this privacy policy and in accordance with WFP regulations and rules. After that retention periods your personal data will be either anonymized or erased.  

  

8. Security  

To protect your personal data we have implemented appropriate technical and organizational security measures. We check these security measures regularly and adapt them, as necessary, to the state of technological progress.  

  

9. Notification of Changes 

This privacy policy may change from time to time. Changes will be posted within the Service so Users are always aware of what information is collected and how it is used. 10. Disclaimer – Links to other Sites 

The UN System Booking Hub may contain hypertext links to other services, in particular services that the User may request through the UN System Booking Hub. The World Food Programme assumes no responsibility for those services including the privacy practices or the content of such websites.  

  

11. Privileges and Immunities  

Nothing in or relating to this privacy policy or this Service shall be deemed a waiver of any of the privileges and immunities of the WFP under the Convention on the Privileges and Immunities of the United Nations and the Convention on the Privileges and Immunities of the Specialized Agencies.
